Form W-2, W2-G, WT-7, 1099-MISC and 1099-R File Transmission
- Do I mail the Form WT-7, or can I send it electronically?
- Do I need a personal identification number (PIN) or password to transfer my file?
- Is data transmitted over the Internet encrypted or otherwise protected?
- Is there any confirmation receipt sent after I upload a W-2 and 1099 report file?
- If I am filing Forms 1099 electronically with the Internal Revenue Service (IRS), must I also file a copy of these forms with the state of Wisconsin?
- Is there a way to enter or key individual W-2s through your website?
- Do I mail the Form WT-7, or can I send it electronically?
The Department of Revenue (DOR) will allow for electronic transmission of WT-7 forms.
- Do I need a personal identification number (PIN) or password to transfer my file?
No. A PIN, password, or pre-registration is not required.
- Is data transmitted over the Internet encrypted or otherwise protected?
The file is posted via HTTPS to a web server and the data is protected with SSL 128bit encryption. This is the same standard used for Internet financial transactions.
- Is there any confirmation receipt sent after I upload a W-2 and 1099 report file?
You will receive a notice back that the file transferred successfully ("OK Transfer Complete") along with a confirmation number and time stamp showing when the file was received. There is not an e-mail confirmation. Print a copy if this screen for your records. We will start moving files submitted into our database by mid-January. If we have any problems with your file, we will contact you at that time.
- If I am filing Forms 1099 electronically with the Internal Revenue Service (IRS), must I also file a copy of these forms with the state of Wisconsin?
If you sign up with the IRS to participate in the combined federal/state filing program, you only have to file your Forms 1099 with the IRS. To sign up for this program, contact the IRS and have them provide a letter to you granting authorization to participate in the program. For more information, see IRS Publication 1220. You must provide the Wisconsin Department of Revenue with a copy of the IRS's letter to verify that you are participating in the combined federal/state filing program.
- Is there a way to enter or key individual W-2s through your website?
We do accept the W-2 PDF files that are created at the Social Security Administration website. Small businesses can key in and file their W-2s at that website and submit the PDF file which is created there to us through our FTP site. See the instructions below.
To file your W-2s electronically,
- Go to the SSA website at www.ssa.gov/employer/.
- Click on Business Services Online.
- Choose register or complete a phone registration.
- Get your PIN and password.
- Complete W-2s on the SSA website using the tutorials and instructions. Save the Portable Document Format (PDF) file on your PC.
- Then go to our W-2 online filing page and follow the instructions for transmitting that PDF file.
- Click on ready to transfer SSA PDF, select W2 PDF in the drop down box, browse and locate your file on your PC and click transfer.
Note: We can accept only the PDF generated W-2s created at the Social Security Administration site. No other type of PDF generated W-2 is acceptable.
